My Client, a leading Tier 1 Main Contractor require an experienced Divisional Administrator in their Galway office to provide a range of administrative support and coordination services to the Divisional Team. You will be the key point of contact for meeting coordination, team support and any ad hoc administrative tasks.
Responsibilities:
- Proactively manages all correspondence.
- Organizes and prepares meetings, as well as coordinates with working group members to ensure task completion.
- Handles ad hoc administrative tasks as required.
- Maintains a log of messages and actions for periodic review.
- Takes ownership of diary management and liaises with internal and external stakeholders.
- Arranges meeting rooms and setups as needed.
- Compiles monthly board packs and circulates them in a timely manner for participant review.
- Coordinates approvals for expense claims, subsistence payments, and associated documentation or e-approvals.
- Manages event logistics for the division and collaborates on companywide events.
- Records all credit card and personal receipts on the online expenses system for payment.
- Submits mileage claims in accordance with diary records.
Requirements:
- Significant experience in the Construction Industry.
- Business Administration or related qualification.
- ECDL, Pitman, or equivalent qualification.
- Demonstrates flexibility in work approach.
- Proven track record of proactive diary management.
- Proficient in Microsoft Office tools (Word, Excel, PowerPoint, Adobe, etc.).
- Familiarity with social media platforms and effective utilization.
Package:
- €30k – €40k DOE.
